Information We Collect
We collect information you provide directly when you:
- Submit a contact form or request an estimate
- Call or email us
- Sign a service agreement
This may include your name, email address, phone number, street address, and project details. We also collect:
- Property details, roof age, materials, and project scope
- Photos of your roof (damage photos for estimates, before/after photos for service records)
- Insurance claim information if you ask us to help document a storm damage or insurance claim. This may include your insurance carrier name, policy number, claim number, and adjuster contact details (see "Insurance Claim Information" below for important limits)
- Payment information (processed by third-party payment processors, so we do NOT store full card numbers)
- Appointment and scheduling preferences
- Drone imagery of your property, if we use aerial imaging for inspection (stored for service records only, not shared with third parties)
When you submit forms on our website, we automatically collect technical information including your IP address, browser type, timestamp, and anti-abuse verification signals (via Cloudflare Turnstile) to protect against spam and fraud.
Insurance Claim Information
If you ask us to help document roof damage for an insurance claim, we may collect and retain:
- Photographs of the damage and the roof system
- A scope-of-loss document describing what we observed
- Your insurance carrier's name, policy number, and claim number
- Contact information for the insurance adjuster
Important limits on what we do.
Under North Carolina law (NCGS §58-33A), roofing contractors are NOT licensed public adjusters and may not negotiate, adjust, or settle insurance claims on your behalf. We may:
- Provide a scope-of-loss document and photographs to you and your adjuster for informational purposes
- Be present during an adjuster's inspection at your request
- Provide an estimate for repair or replacement in our capacity as a contractor
We may NOT:
- Negotiate the claim amount with your insurance company
- Represent you in adjuster communications
- Act as your public adjuster
All claim decisions are between you and your insurance carrier.
How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and provide estimates
- Schedule and deliver services
- Send project updates and follow-up communications
- Improve our website and services
- Travel to and inspect properties for estimates and service delivery
- Document work performed (photo/video records for warranty and service history)
- Provide scope-of-loss documentation for insurance claim purposes (within the limits described above)
- Verify form submissions are from real humans (via anti-abuse tools)
- Measure marketing effectiveness across our website and advertising campaigns
- Respond to legal requests and enforce our agreements
We do not sell your personal information for monetary consideration, and we do not rent your personal information to third parties. We also do not use your personal information to train artificial intelligence or machine learning models. However, our use of advertising platforms (see "Cookies & Analytics" below) may be considered "sharing" of personal information for cross-context behavioral advertising. SMS/Text Messaging
If you opt in to receive text messages from Hard Roof LLC, the following applies to your mobile information:
We may send you automated text messages related to appointment reminders, project updates, and, with your separate consent, promotional offers.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories of opt-in data and consent (including phone numbers collected through SMS opt-in) will not be shared with any third parties except service providers who assist in delivering our messaging program.
We store consent records including the date, time, method of opt-in, and the consent language presented at the time of opt-in, as required by applicable regulations.

Message frequency varies based on your engagement with us, the stage of your project (inspection, proposal, installation, follow-up), and whether you opted in to promotional messages.
Data Retention
We retain personal information only as long as necessary for the purposes described in this Policy:
- Contact form submissions and customer inquiries: up to 3 years from last contact
- Service records, project documentation, and photos (including drone imagery): up to 10 years to support warranty claims, insurance documentation, and service history
- Insurance claim documentation (scope-of-loss, claim numbers, adjuster contacts): up to 10 years to support warranty and any claim re-opening
- Transaction records: up to 7 years to meet tax and accounting requirements under North Carolina and federal law
- Marketing database entries: until you opt out, plus up to 30 days for suppression list maintenance
- Website analytics data: up to 14 months (the maximum retention period for Google Analytics)
- Security and access logs: up to 90 days
- Text message opt-in records and consent logs: retained indefinitely while opted in; after opt-out, retained for up to 4 years to demonstrate TCPA compliance
We may retain information longer when required by law, necessary to resolve disputes, or necessary to enforce our agreements or warranty commitments.

Right to appeal.
If we decline your request, you may appeal by emailing info@hard-roof.com with "Privacy Appeal" in the subject. We will respond within 60 days.
Non-discrimination.
We will not discriminate against you for exercising any privacy right.
North Carolina Residents
North Carolina does not currently have a comprehensive consumer privacy law granting specific rights like the California or Texas privacy acts. However, we apply the rights described in this Policy to all users, including North Carolina residents.

Security
We implement reasonable administrative, technical, and physical safeguards to protect your personal information. However, no method of electronic transmission or storage is 100% secure.
Specific safeguards include HTTPS encryption for all website traffic, Cloudflare Web Application Firewall and bot detection, role-based access controls for our business systems, secure password requirements, and regular review of access logs. Insurance claim information and property photographs are stored in access-controlled systems and shared only with authorized personnel working on your project.
Changes to This Policy
We may update this Privacy Policy from time to time.
- Minor changes (clarifications, typos): We will update the "Last Reviewed" date at the top of this page.
- Material changes (changes to how we collect, use, or share your information): We will update the "Effective Date" and provide notice through our website. If you are a current customer or subscriber, we will notify you via email or text where we have your contact information.
International Users
Hard Roof LLC operates in North Carolina, United States. If you access our Services from outside the United States, your information will be transferred to and processed in the United States. By using our Services, you consent to this transfer.
Children's Privacy
Our website and services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected data from a child under 13, we will promptly delete it.
